Artemis, the cutting edge scheduling and PDA software created for Healthcare At Home by LetsComIT, has been implemented across each of their 15 regional centres to provide fully optimized appointment generation and to improve efficiency throughout the workforce.

Operating the length and breadth of the UK, each of Healthcare At Home’s specialist nurses are trained to treat patients safely and cost-effectively out with the confines of a hospital. The provision of this kind of care allows individuals to feel at ease in a familiar environment whilst dealing with often life threatening and debilitating diseases.

From the initial consultant’s referral to the final treatment, LetsComIT’s Artemis software pro-actively and intelligently optimizes every aspect of both nurse and patient management at the touch of a button. Time consuming and lengthy paper based processes have been replaced throughout the organization by forward-thinking mobile technology, and revolutionary scheduling software.

Following a request for treatment, a protocol of visits must first be allocated, such as the length and frequency of the appointments, which is wholly dependent upon the type of illness from which the patient is suffering. This information, together with other factors, such as location and personal requests, for example, a female nurse, is entered into the scheduling system and a set of visits created. On a bi-weekly cycle, this information is sent to unique optimizing software, which will allocate each visit to the most appropriate nurse, based upon such constraints such as skill sets, location or availability. LetsComIT’s dynamic software instantly recognises whether each nurse possesses the necessary skills to perform any given treatment and will only schedule a visit if these criteria are met. By using LetsComIT’s specially created planner, management can re-schedule appointments simply by dragging and dropping planned visits onto another nurse’s schedule. The intelligent software will instantly recognise whether a nurse possesses the necessary skills to carry out the visit and, if these criteria are not met, it cannot be re-assigned.

Once allocated, rather than being issued by paper, each nurses’ list of visits for the day is sent directly to their PDA. Here, a nurse can view full patient details and information regarding the care to be given. Once on site, a nurse is able to access to a patients’ full visit history and will fulfil details of the appointment, directly onto the PDA. Each type of treatment is allocated its own template, a Clinical Evaluation Form (CEF), therefore information which is received from the nurses on site is wholly standardized. Once an appointment has been concluded, it is sent, over-the air, via GPRS, directly into Healthcare At Home’s database, where patient details will be instantly updated. A nurse can now proceed to their next appointment.
By implementing an entirely electronic system for the allocation and completion of appointments, Healthcare At Home are able to centrally manage each of their 200 nurses and the invoicing process can begin as soon as each visit is ended. The deployment of PDA’s, coupled with a dynamic appointment scheduling system from LetsComIT, marks a significant shift away from the more traditional methods of recording patient information, but is one which will enable more and more individuals to be treated in the comfort of their own homes.
